How does the Roobrik integration work when there is an existing record for a lead?
Roobrik is not able to control how duplicates are handled for Yardi leads. Instead, we are following the duplicate settings configured in your Yardi account. Here are some of the configuration options available in Yardi:
- Rejecting duplicate leads
- Add duplicate lead, with a warning
- Add duplicate lead, without a warning
- Add an activity to the existing record
We’re happy to share some recommendations that might be helpful for managing Roobrik leads. Just keep in mind that these options are applied globally, which means any adjustments to these settings will impact how leads from all sources are handled, not just Roobrik. Ultimately, it’s up to you and your team to decide what works best for your internal workflows.
- For active and inactive prospects belonging to the same community, we recommend selecting the option to add an activity to the existing record.
- For active and inactive prospects belonging to different communities, we recommend selecting the option to add a duplicate record, either with or without a warning.
- We suggest avoiding the option to reject leads.
Yardi provides the option to define an activity type when a duplicate lead is accepted. While the specific options available in your account may differ, we recommend choosing a general activity type such as "contact made" or "internet in." This activity type will also be applied whenever an existing lead re-engages through a Roobrik Survey or any other method, such as submitting a form on your website.
